The Challenge

Limited Bandwidth to Keep Up With a Growing Case Inventory

Jose Robles Jr. Law is a personal injury firm with two offices in the Dallas-Fort Worth area. Founder Joe Robles Jr., a 17-year Air Force veteran and former military police officer, built his practice around serving the Hispanic and veteran communities. Today, the firm handles everything from car accident cases to VA disability benefits.

Jose Robles Jr. Law is a smaller firm: three attorneys and seven support staff. COO Eric Hulett joined two years ago specifically to help scale the practice. Getting more clients wasn’t the firm’s problem; rather, it was keeping up with the extra work associated with more cases. 

Demand letters, in particular, were consuming enormous amounts of skilled staff time. As a result, demands were often delayed, directly affecting the firm’s cash flow. 

Though Jose Robles Jr. Law actively sought methods to enhance the firm’s case throughput, past disappointments with other AI providers had left the firm hesitant to re-engage with other AI partners. Hulett, along with founder Joe Robles, oversees each client’s treatment. EvenUp’s Care Timeline is useful not only for spotting gaps in treatment but also for understanding the progress of each case. After years of practicing personal injury law, Hulett knows when a client should receive certain types of care for their injury. The Care Timeline allows him to quickly assess a client’s course of treatment and note any irregularities, such as not having an MRI or being evaluated for a possible TBI by a particular week of treatment.

With Missing Docs Check, the team can proactively obtain bills and records for every medical visit. In the past, they would often discover a missing record while drafting a demand or preparing to send it over to the adjuster. Checking for missing bills and records used to fall to whoever was reviewing the demand, including COO Hulett. In those instances, retrieving a missing document so late in the process often caused months of delays while the necessary records were obtained.

Before EvenUp, the biggest obstacle to Jose Robles Jr. Law’s growth was writing and sending demands in a timely manner.

A personal injury case can have upwards of 1,000 pages of medical records, with an average hospital record containing 350 pages of billing codes and internal notes. Prior to EvenUp, every page had to be manually combed to extract the relevant information for the demand.

That review work traditionally fell to attorneys and senior paralegals who should have been focused on strategy, negotiation, and client relationships. Not only did the case strategy suffer from staff spending too much time on record review, but there was also often a 30-day delay in sending demands. The firm estimates that before EvenUp, they would have had to hire one full-time employee to match the speed at which they can now produce documents. Not only has the firm been able to increase its capacity without hiring, but it can also continue scaling as case volume increases without worrying about increasing headcount.

For Hulett, the operational math is straightforward: EvenUp allows the firm to scale without the overhead of hiring. Hiring a new employee currently takes the firm about 60 hours of combined time between Hulett and Robles before training even starts.

Hulett estimates the firm is operating with roughly six fewer employees than it would need without AI, even as case volume continues to climb. 

That efficiency shows up directly in attorney and paralegal time. Reviewing AI-drafted legal documents instead of building them from scratch has freed up senior staff to take on more cases without having to spend their weekends and late nights trying to keep up with the extra workload.
